Rental property cash-flow tracker
A useful rental-property cash-flow tracker shows what one property earns, what it costs and which assumptions produced the result. It should not disguise a rough owner estimate as formal accounting.
Start with cash actually connected to the property
Record rental income in the currency received. Then add the operating costs you genuinely pay: management fees, cleaning, utilities, service charges, insurance, maintenance, storage, gardening and local professional fees. Keep financing, capital improvements and tax identifiable instead of burying every outflow in “expenses”.
Separate recurring entries from one-off events
A monthly management fee and an emergency roof repair behave differently. Possessions can annualise recurring entries to produce a simple projection while retaining one-off entries as individual events. The projection is only as complete as the information entered.
Keep occupancy beside cash flow
Record bookings, personal stays, maintenance and blocked periods. A private Airbnb iCalendar URL can import occupied dates, but not payouts, guest identities, messages or fees. This makes the calendar useful without implying a full channel-manager integration.
Do not invent a multi-currency total
If one property earns GBP and another produces costs in CHF, preserve both original currencies. Converting everything with an undocumented rate creates a persuasive but misleading portfolio number. Possessions therefore groups totals by currency rather than silently combining them.
A simple monthly review
- Confirm income received and important operating costs.
- Check the next 90 days of occupancy and maintenance.
- Review overdue obligations and large one-off entries.
- Update the valuation only when you have a defensible source and date.
- Export the records needed by your accountant; do not treat the dashboard as a tax return.
What this tracker does not calculate
It does not automatically model vacancy, depreciation, financing, income tax, capital-gains tax, exchange-rate movements or local filing rules. Those require your own assumptions and, where appropriate, professional advice.
